1. About us

Discovery Camps, Inc. (“Discovery Camps”) is a 501(c)(3) nonprofit organization based in San Antonio, Texas. We provide camp and community programs at no cost to children who have been diagnosed with cancer, their siblings, and their families.

You can reach us at admin@discoverycamps.org or PO Box 692153, San Antonio, TX 78269-2153.

2. What this policy covers

This policy explains how we handle personal information collected through our website at discoverycamps.org, our donation and event pages, our volunteer and interest forms, and our email and text message programs.

Camp and program registration is handled separately. Registration for our camps runs through a dedicated registration system with its own forms and its own consents. Information collected there, including participant health information, is used to operate our programs safely. It is not used for marketing or fundraising, it is not loaded into our email or text messaging platforms, and it is not covered by this policy.

3. Information we collect

Information you give us. Your name, email address, mailing address, and phone number when you donate, sign up to volunteer, subscribe to our email list, opt in to text messages, RSVP to an event, or contact us. We also collect your communication preferences, your areas of interest, and anything you choose to tell us in a form, an email, or a text.

Donation information. Donation amount, date, designation, and recognition preferences. Payment card and bank account details are collected and processed directly by our payment processor. We do not receive or store full payment card numbers or bank account numbers.

Information collected automatically. When you visit our website, we and our analytics and advertising providers collect device and usage information, including IP address, browser type, pages viewed, referring page, and the dates and times of your visits.

4. How we use your information

We use this information to send you newsletters, program news, event invitations, impact stories, and appeals; to send text messages if you have opted in; to process donations and issue receipts and acknowledgments; to coordinate volunteer opportunities and shifts; to respond to your questions and requests; to promote our programs and reach people who may want to volunteer, attend, or give, including through online advertising; to understand how our website and communications are used so we can improve them; and to meet our legal, tax, and reporting obligations.

5. Text messaging (SMS)

Our text message program is for donors, volunteers, and event guests. If you opt in, we may send you text messages about volunteer opportunities, shift reminders and confirmations, event invitations and RSVP reminders, urgent notices about an event or shift you signed up for, campaign and appeal updates, and giving opportunities.

We do not use text messaging to communicate with camper families about registration, program logistics, or a child’s care.

Our full messaging terms are at discoverycamps.org/sms-terms.

6. Cookies and tracking

Our website uses essential cookies that make the site work, analytics cookies including Google Analytics that tell us how people find and use the site, and advertising cookies including Google Ads that help us reach people who may be interested in our programs. Our emails may contain small pixels that tell us whether a message was opened and which links were clicked.

Most browsers let you block or delete cookies through their settings. You can opt out of Google Analytics at tools.google.com/dlpage/gaoptout and manage Google advertising personalization at adssettings.google.com. There is no common industry standard for the “Do Not Track” browser signal, and we do not currently respond to it.

7. How we share your information

We share personal information only in the situations described below.

Mobile information and messaging consent

No mobile information will be sold, rented, leased, shared, or otherwise transferred to third parties or affiliates for marketing or promotional purposes. We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes.

Mobile phone numbers and text messaging consent data are used only to deliver the messages you asked for. They are shared only with the messaging service providers that transmit those messages on our behalf, and those providers may not use that information for any other purpose. We do not upload mobile phone numbers or messaging consent data to advertising or analytics platforms, including for custom audience, lookalike, or customer match targeting.

These exclusions survive everything else in this section. Mobile phone numbers and messaging consent data are excluded from the donor recognition, service provider, and organizational change disclosures below, and are disclosed outside Discovery Camps only where compelled by law.

Everything else

Donor information. We do not sell, rent, trade, or lease donor information. We do not exchange or share donor lists with other organizations.

Service providers. We share information with the vendors that operate our systems, strictly so they can provide those services to us and subject to contractual confidentiality obligations. These include our email and text messaging platform, our donor database, our donation processing platform, our online forms, our website host, and our analytics and advertising providers. We do not permit these providers to use your information to market their own products or services to you.

Donor recognition. Unless you tell us otherwise, we may list donor names in annual reports, event programs, donor walls, and similar recognition materials. We do not publish donation amounts tied to a named donor without permission. You may request anonymity or ask to be removed from recognition materials at any time by contacting us at admin@discoverycamps.org. We will honor that request going forward, though we cannot recall printed materials already distributed.

Legal and safety. We may disclose information where we believe in good faith it is required by law, subpoena, or court order, or where necessary to protect the safety of a person or our organization, or to investigate fraud or a security incident.

Organizational changes. If Discovery Camps merges with, is acquired by, or transfers its assets to another organization, information may be transferred as part of that transaction, other than mobile phone numbers and messaging consent data, which are excluded from any such transfer. Any recipient would remain bound by the commitments in this policy.

With your permission. We share information in any other way with your consent or at your direction.

8. Children

The communications covered by this policy (our email list, our text message program, and our donation and volunteer forms) are directed to adults, not to children. We do not knowingly collect personal information online from children under 13 through these channels, and we do not enroll anyone under 18 in our text message program. If you believe a child has provided us information through one of these channels, contact us at admin@discoverycamps.org and we will delete it.

9. Your choices

Email. Every marketing email we send includes an unsubscribe link, and we honor unsubscribe requests promptly. You can also email admin@discoverycamps.org to be removed.

Text messages. Reply STOP to any message to stop all texts from us. You can also email admin@discoverycamps.org.

Mail and phone. Contact us to be removed from mailing or calling lists.

Access, correction, and deletion. You may ask what personal information we hold about you, ask us to correct it, or ask us to delete it, subject to records we must keep for legal, tax, or accounting reasons. Email admin@discoverycamps.org and we will respond as quickly as we reasonably can.

10. Data security

We use reasonable administrative, technical, and physical safeguards to protect personal information, including limiting access to those whose role requires it, using reputable vendors with their own security programs, and requiring secure connections on our website and forms. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you believe your information has been compromised, please tell us at admin@discoverycamps.org.

11. Retention

We keep personal information only as long as we need it for the purpose it was collected, plus any period required by law. Donation records are retained as long as tax and accounting rules require. Marketing contacts are retained until you unsubscribe or ask to be removed, after which we keep a minimal suppression record so we do not contact you again by mistake.

12. Where your information is processed

Discovery Camps operates in the United States, and your information is stored and processed here. If you access our website from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your location.

13. Third-party sites

Our website links to third parties we do not control, including our donation platform, our merchandise store, our social media accounts, and partner organizations. Their handling of your information is governed by their own privacy policies, not this one.

14. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above. If we make material changes, we will provide more prominent notice.
